Stellenbeschreibung
Role Purpose
The Governance, Risk & Compliance Specialist ensures efficient general operations, supports corporate governance and compliance activities, provides comprehensive assistance to (Senior) Management, contributes to communication and public relations initiatives, delivers high‑level support for strategic and operational matters, coordinates day‑to‑day IT topics with external service partners to support stable and compliant IT operations, and demonstrates a high level of flexibility in taking on new challenges.
Responsibilities
1.Governance, Risk & Compliance
- Support the implementation and continuous maintenance of corporate governance frameworks, policies, and internal guidelines.
- Compliance‑related activities, including monitoring deadlines, supporting internal audits, preparing audit documentation, and ensuring adherence to regulatory and internal requirements.
- Assist in tracking and documenting mandatory trainings, policy acknowledgements, and compliance certifications.
- Support the identification, assessment, documentation, and monitoring of risks in line with applicable laws, regulations, and internal standards.
2. IT Infrastructure & Service Coordination
- Coordinate day‑to‑day IT topics with external service partners, including incident handling, service requests, and change coordination.
- Supporting and maintaining the IT infrastructure of a European Holding company within an international group environment.
3. General Operations & Administrative Support
- Ensure smooth and efficient day‑to‑day general operations within the organization.
- Maintain structured administrative processes, documentation standards, and internal workflows.
- Coordinate with internal departments to support cross‑functional activities and enable effective business operations.
- Oversee the preparation, filing, and archiving of corporate documents, ensuring accuracy, accessibility, and completeness.
4. Public Relations & Communication
- Maintain and further develop the content of the company website.
- Support internal and external communication activities in alignment with corporate messaging and branding.
- Contribute to marketing and communication initiatives as required.
5. Management Support
- Deliver high‑level executive support to senior management, including the Managing Director and HR leadership.
- Prepare meeting materials, briefings, documentation, and follow‑ups for strategic and operational matters.
- Coordinate schedules, organize meetings, and ensure timely preparation of reports and decision‑ready materials.
- Handle confidential information with discretion and in accordance with corporate governance standards.
6. Temporary Coverage – Specialist, Corporate Affairs
- Serve as temporary functional cover for the Specialist, Corporate Affairs role as needed, ensuring continuity of business processes and operations.
Required Competencies
- Competence in coordinating IT services with external partners, together with an understanding of IT infrastructure operations in a small-sized company embedded in an international group structure.
- Strong organizational skills with the ability to prioritize and multitask effectively.
- Excellent communication skills in German and English; Japanese language skills are an advantage.
- Proficiency in MS Office applications.
- Ability to work independently in a multicultural and international environment.
Preferred Experience & Skills
- Solid professional experience in Governance and Risk & Compliance in an international environment, evidenced by a completed university degree in a relevant discipline
- Fluency in English and German is essential.
- Proactive working style with regular and structured stakeholder updates.
- Structured approach and attention to detail
- Understanding of legal principles and public relations.
- Experience in, or exposure to, Japanese corporate culture is desirable.
- Corporate environment experience.
