What is my role?
As Business Office Manager, you are part of the ALE central Business Office organization who acts as interface between the managing directors of the various ALE entities and the central departments and you report to the Head of Business Office Management.
Your mission is to support the local compliance with central processes as well as the local managing directors of various entities in the region Germany & EUNO – mostly via remote access as the function is hosted in Germany.
What am I responsible for?
Human Resources
Coordinating local HR and payroll tasks (e.g. maintain changes of master data in HR tools, on and off-boarding process), in close cooperation with local HR Business Partner;
Act as first point of contact for employees with basic interpreting and advising on employment law of the respective countries;
Manage communication with local authorities in respect of tax, social charges, payroll
regulations.
Finance & Procurement
Local point of contact for P2P process from the purchase request to timely payments;
Coordinating invoicing/payment issues with the Accounting SSC (incl. obliged payments to
local authorities [such as taxes, contributions, etc.]);
Local support and close cooperation with Central Finance functions;
Support supplier appraisal/re-appraisal process with assist from Central team.
Business Operations
Provide general administrative support to local managing directors (e.g. maintain office
systems, supplies, equipment) and on the roll-out of local regulations (policies, instructions,
guidelines, compliance requirements);
General trouble-shooting: streamline escalations of employee issues related to
tools/processes (e.g. travel expenses, car leasing, IS&IT processes/implementations);
Ensure proper data storage.
The range of countries and the related responsibilities can vary in dependence to the current business needs as well as on backup assignments for other countries.
