As an Operations Associate (m/f/d) at CWC, you will work exclusively on-site closely with the Operations team to support key business initiatives.

Your primary responsibilities will include:

  • Manage and coordinate incoming and outgoing correspondence, ensuring timely and accurate handling.
  • Support the preparation and organization of documentation for official filings and regulatory processes.
  • Maintain and continuously improve digital and physical filing systems to ensure accessibility and compliance.
  • Retrieve documents and paperwork when requested.
  • Update and maintain Candidate and Employer records, ensuring accurate tracking of documents throughout the process.
  • Conduct quality checks and initial screening of candidate documentation to ensure completeness and compliance.
  • Prepare and submit candidate documentation to relevant authorities in a timely and structured manner.
  • Coordinate and manage appointments, deadlines, and key process milestones.
  • Monitor office supplies and manage procurement of stationery, furniture, and equipment as needed.
  • Support office operations by improving systems, workflows, and workspace organization to enhance overall efficiency.
  • Proactively identify inefficiencies and suggest improvements to internal processes.
  • Take ownership of assigned operational workflows from start to finish.
  • Act as a central coordination point between internal teams and external stakeholders.

Your Profile:

  • Completed Bachelor’s degree or comparable qualification.
  • Strong organizational skills with a high level of accuracy and attention to detail.
  • Structured, task-oriented working style with the ability to manage multiple priorities.
  • Proactive mindset with a hands-on, problem-solving approach.
  • Comfortable taking ownership and getting things done without needing constant direction.
  • Quick to learn, adaptable, and open to new tools and processes.
  • Confident using Google Workspace (especially Google Sheets) and standard office tools (e.g. scanners, printers).
  • Clear and professional communication skills in German (minimum C1) and English (minimum B2/C1).
  • Confident in handling regular communication with authorities and external institutions.
  • Previous experience in administrative or operational support roles is a strong advantage.
  • Willingness to take on a variety of tasks and support different areas of the business.

Bonus points if:

  • You bring prior experience with recognition processes, related fields, or German bureaucracy.
  • You have worked as an office administrator, office assistant, or in a comparable role.
