Stellenbeschreibung

We are looking for an
Faculty Assistant & Associate Administation (gn)

full-time (40 hours per week), to start on 1 August/September 2026 or as soon as possible thereafter. The position is initially limited for two years, with the possibility of extension. The successful candidate will split their working time equally between the roles of Faculty Assistant and Associate Administration at our Centre for International Security.

Your responsibilities
  • Provide administrative and organizational support for the Centre for International Security, its faculty members, fellows, and externally funded projects.
  • Coordinate international research, teaching, and outreach activities, including workshops, conferences, colloquia, and high-level events.
  • Organize the Centre’s annual side event at the Munich Security Conference and support additional public and academic events.
  • Manage travel arrangements, scheduling, correspondence, contact databases, and day-to-day administrative workflows.
  • Support faculty teaching activities, including course preparation, student communication, examinations, grading processes, and maintenance of learning platforms.
  • Support research activities, including literature searches, proposal preparation, editing, and document management.
  • Assist international visiting scholars and fellows with onboarding, relocation, visa and work permit procedures, housing arrangements, and institutional integration.
  • Maintain websites, internal databases, and digital collaboration platforms.
  • Monitor project budgets, process invoices, support bookkeeping activities, and serve as an interface to central administrative units such as Finance, HR, and Third-Party Funding.
  • Edit and proofread texts, reports, and communications; provide occasional translations where required.
Your profile
  • Completed university degree or comparable professional qualification in administration, international relations, political science, public administration, business administration, event management, or a related field.
  • Relevant professional experience in administrative support, project coordination, higher education, research administration, or international programmes.
  • Strong organizational and project management skills, with the ability to manage multiple priorities independently and reliably.
  • Excellent communication and interpersonal skills, combined with a strong service-oriented mindset.
  • Interest in international security, foreign policy, academic research, or related fields.
  • Experience with event organization and coordination of international stakeholders.
  • Familiarity with budget monitoring and administrative processes in an academic or international environment.
  • Excellent written and spoken English and very good German language skills.
  • Proficiency in Microsoft Office applications; experience with learning management systems, content management systems, literature management software, and digital collaboration tools is an advantage.
  • High degree of professionalism, discretion, accuracy, and team spirit.
